90%+ of PG contracts signed before their first day at CHU Brugmann

CHU Brugmann is a hospital based in Brussels, operating across three sites: Victor Horta, Paul Brien, and Reine Astrid.

Today, CheckHub is primarily used for PG (post-graduates), i.e. medical specialists in training. Each year in October, the hospital welcomes between 130 and 140 new PGs, representing a significant onboarding volume for HR teams.


The challenge

Before implementing CheckHub, HR document management relied mainly on manual processes:

  • Collecting and exchanging documents via email
  • Manual follow-ups by HR teams
  • Paper-based contract signing during in-person appointments at the hospital
  • Tracking progress through Excel files

PGs had to travel to the hospital to sign their contracts, making the process more time-consuming and restrictive.

This created several challenges:

  • A very high administrative workload, especially during the October peak
  • Organizational difficulties on onboarding day (some PGs had not yet signed their contracts)
  • Constraints linked to standard office hours
  • Having to come on-site to sign documents, which could be difficult to organize

The CheckHub solution

CheckHub was implemented to digitalize document collection and contract signing for PGs.

Documents are now sent and signed digitally, allowing individuals to complete their files remotely, without having to come on-site.

HR teams benefit from better visibility into the progress of each file and can track signatures in real time.


Results obtained

Since implementing CheckHub, CHU Brugmann has achieved significant improvements:

  • Increase from 60% to over 90% of contracts signed before their first day
  • Time savings for HR teams, especially during the October peak
  • Simplified processes (documents can be completed and signed remotely, outside office hours)
  • Improved visibility on dossier progress

Building on these results, CHU Brugmann is now considering extending the use of CheckHub to the onboarding of doctors and other staff profiles across the hospital.
